Postal Voting - FAQ

The following frequently asked questions have been compiled in order to provide answers to questions you may have regarding the postal voting procedure for the Delegation Election.

In case you have a question to which you will not find an answer below, we kindly ask you to contact us at elections@alpl.lu or call the 24/7 hotline at +352 42 23 30.

Can I cast my votes before March 12th?

Yes, you can, by postal voting.

Due to the fact that changing schedules make it impossible for you to know if you will be able to vote in the electoral office in Luxembourg, Art. L. 413-1. of the labour law permits you as pilot to cast your votes by postal voting, regardless if you would be on off, vacation, rest days or rest before off days, or away on a rotation, on standby or on reserve on election day. You are also entitled to cast your votes by postal voting if you would be on additional off- time due to your part-time contract.

Your ALPL Board highly recommends that you register for postal voting, latest by February 26th, 18.00 LT Luxembourg.

As a pilot, am I eligible for postal voting?

Yes, you are!

Why should I register for postal voting, even though HR announced that all pilots would be considered for postal voting by default?

The main reasons are that there are several options how you could receive and return your ballot before election day (March 12th). Which option would be best will depend on your roster. Registering for postal voting will allow you to choose the best option. More information and detailed recommendations will be published on February 16, when the March roster will be published.

Why should I wait until the March roster is published on 16 February to request postal voting?

Why is picking up or dropping off the ballot at HR before election day considered to be “postal voting“?

The reason is, that the options of picking up and/or dropping off your ballot before election day, are covered the regulation concerning postal voting.

I will be in Luxembourg on March 12th, 2024. Where and when can I vote?

You can cast you votes at the following location between the indicated times:

Head Quarter (HQ) in training room Brussels. This meeting room is located on the first floor of the HQ [map]. You can vote during the following times (local):

09.00 to 12.00
13.00 to 16.30

The other option is in the Cargolux Maintenance Center (Hangar) ME Conference Room 3 (Bravo)You will need your Airport Badge to access the Hangar. The security guards at the Hangar entrance should be able to provide directions to this meeting room. This office will be open during the following times (local):

05.30 to 09.00

Can I vote by proxy?

No, this is not foreseen by law!

I will arrive in LUX from a flight on March 12th after 16.00 local. Am I eligible for postal voting?

Yes, you are.

I will leave LUX on a flight on March 12th after 15.00 local. Am I eligible for postal voting?

Yes, you are.

I will leave LUX on a flight on March 12th before 12.00 local. Am I eligible for postal voting?

Yes, you are.

I am scheduled for a Rest day on March 12th. Am I eligible for postal voting?

Yes, you are.

I will be in my A-Days on March 12th. Am I eligible for postal voting?

Yes, you are.

As pilot rosters are unpredictable and as C-Days may be moved, you should request postal voting. Please see the question As a pilot, am I eligible for postal voting? for more information.

I will be on vacation (VAC) on March 12th. Am I eligible for postal voting?

Yes, you are.

Art. L. 413-1. of the labour law explicitly permits that you cast your votes by postal voting, if you would be on vacation on Election Day, March 12th.

I am on sick leave on March 12th. Am I eligible for postal voting?

Yes, you are.

I am scheduled for SBY on March 12th. Am I eligible for postal voting?

Yes, you are.

I am scheduled for RES on March 12th. Am I eligible for postal voting?

Yes, you are.

I have a part- time contract and will be on additional off-time (XPA or roster period off) on March 12th. Am I eligible for postal voting?

Yes, you are.

Art. L. 413-1. of the labour law explicitly permits that you cast your votes by postal voting, if you would be on any additional off- time (e.g. additional off-days ‘XPA’ or roster off) due to your part- time contract on election day, March 12th.

Do I have to request postal voting?

Yes, you have to request postal voting with Human Resources, by sending an email to 2024social.elections@cargolux.com latest by February 26th, 18.00 LT Luxembourg.

How do I request postal voting?

Until when do I have to request postal voting?

We recommend to request postal voting as soon as possible, by sending an email to 2024social.elections@cargolux.com

How can I get my ballot, if I would like to do postal voting?

First you have to request postal voting with HR by sending an email to 2024social.elections@cargolux.com

Please register for postal voting latest by February 26th, 18.00 LT!

Waiting with your request will allow your ALPL Board to provide you with important and up-to-date information, including detailed recommendations how to request postal voting, how to receive your ballot papers and how to cast your votes by postal voting considering your roster. This information will be published by your ALPL Board on 16 February.

In this email you have to inform HR how you would like to get your ballot. The following options are available for all employees:

  1. The ballot can be sent to your address by registered mail, or
  2. The ballot can be sent to any address you wish it to be sent to by registered mail, or
  3. You may pass by HR (located in the HQ on floor +2 [map]) during office hours, Monday to Friday between 08.00 and 17.00 local time, to pick- up your ballot. You then could vote and hand back your ballot immediately.

If you have any question concerning which option may work best in your personal rostering situation, we strongly recommend, that you get in touch with the us at elections@alpl.lu.

Can the voting papers be sent to my home address?

Yes, this is possible!

To receive your voting papers at your address registered with Cargolux you have to request postal voting. Please see the question How do I request postal voting? for additional information.

Can the voting papers be sent to a different address than the one registered with Cargolux?

Yes, this is possible!

To receive your voting papers at a different address than your address registered with Cargolux you have to request postal voting indicating the address the voting papers should be sent to. Please see the question How do I request postal voting? for more information.

Can someone else pick- up my voting papers at Human Resources for me?

No, this is not possible.

How can I get my ballot back to Human Resources if I do postal voting?

Independent of the way how you received your ballot for postal voting you can chose one of the following options to return it back to Human Resources before March 12th, 16.30 local time:

  1. Mail it back in the return envelope provided by REGISTERED mail. It must be by registered mail, if you would send it back using “normal” mail, your ballot may be destroyed and your votes will not count! We urge you to use the email sent to you by the ALPL Board to register for postal voting in order to receive additional information how you could make sure, that your ballot will be returned in time before March 12th.
  2. You may pass by HR located in the HQ on floor +2 [map]) during office hours Monday to Friday between 08.00 and 17.00 local, to hand back your ballot in person. Please note that your ballot must be returned to the electoral office latest by 16.30 local time on March 12th.

The ALPL office is available 24/7 between February 28th and March 12th, to assist you in returning your ballot. Please call the hotline at +352 42 23 30 to make sure that we can serve you, especially if you consider passing by the ALPL office outside of business hours  which are Monday to Friday 08.00 to 17.00.

I would like to send my ballot back by mail. Do I have to send it as registered mail?

Yes, you have to! 

Please consider the increased transfer time if you mail your ballot back from abroad. More information how to request postal voting will be send to you via email. Please read the information provided in this email carefully, BEFORE you register for postal voting. Additionally your ALPL Board recommends to consult the Recommendations concerning postal voting, BEFORE you register for postal voting.

Please contact us at elections@alpl.lu or at +352 42 23 30 in case you require assistance or need any further information how to return your ballot in time.

Will I get reimbursed the postage / cost for returning the ballot, if I do postal voting?

Yes! If mailed from within Luxembourg the postage to return is being payed and the return envelope is marked accordingly. If mailed from abroad you must pay the postage. However, the Company will reimburse any cost incurred by you for sending back the ballot. To claim back cost, you will have to hand in a receipt as Crew Miscellaneous Expense.

Can I return my ballot by Company Mail (Co-Mail)?

No! Any ballot returned by Company Mail will be destroyed and not be counted!

Can someone else return my ballot to Human Resources?

This is not foreseen by the applicable regulation and HR may refuse to accept your ballot!

You may return your ballot in person to HR (located in the HQ on floor +2 [map]) during business hours, Monday to Friday 08.00 to 17.00 local time or by registered mail. If you return your ballot to HR kindly fill out this form.

Your ALPL Board strongly advises to get in touch with us at elections@alpl.lu in case you have any questions how to make sure that your ballot will be returned to HR before the electoral office closes.

Can I return my ballot by placing it in the Human Resources mailbox?

No! Any ballot returned via any mailbox within the company will be destroyed and not be counted!

Can I return my ballot by email?

No, this is not foreseen by law as your vote would not be secret!

Can the voting papers be placed by Human Resources in one of the crew mailboxes in the crew room?

No, this is not permitted by law.

What are the normal business hours of the Human Resources Department?

Monday to Friday between 08.00 and 17.00 local time. HR is located in the HQ on floor 2 [map].

I requested to receive my ballot papers at my home address, but did not receive them. Can I still vote if I pass through Luxembourg?

Yes!

You may go in person to Human Resources (HR) during business hours 08.00 to 17.00 (Monday to Friday only) as of February 27th and latest by March 12th, 16.30 to cast your votes in person, even before March 12th. HR is located in the HQ on floor 2 [map].

I registered for postal voting and now received a roster change allowing me to cast my votes during Human Resources business hours. Can I go straight to Human Resources and cast my votes?

Yes!

You may go in person to Human Resources (HR) during business hours 08.00 to 17.00 (Monday to Friday) as of February 27th and latest by March 12th, 16.30 to cast your votes. HR is located in the HQ on floor 2 [map].
